The Administrative and Programme Assistant supports the Policy, Strategic Information and Planning Branch by managing data inputs, providing administrative, programmatic and logistical support, and participating in research specific tasks including, but not limited to data collection, data processing and analysis. The assistant will also provide support in the preparation, editing and finalization of presentations, reports and policies. The Assistant will report directly to the Chief, Policy, Strategic Information and Planning Branch.

Job Purpose:

You will play an instrumental role in providing logistical, administrative and research support to the Policy, Strategic Information and Planning Branch of the Policy & Strategy Division.  You will use established systems and procedures to support the office, as outlined below, and ensure policy compliance.

Main Tasks and Responsibilities:

  • Assist in research and reporting activities of the Branch, including by compiling, synthesizing and analyzing relevant information and preparing and editing reports of the Branch;
  • Manage the Branch’s intranet site, communities and other online files using Google Apps;
  • Coordinate the preparation of Branch workplan, annual reports and other reporting mechanisms;
  • Manage policies and procedures document repository system, create and manage archived policy database, update the Policies and Procedures Manual (PPM) website as needed and provide support to the PPM Secretariat;
  • Organize, schedule and attend internal meetings, consultations, workshops, conferences, brainstorming sessions, meetings as required, and prepare briefing notes, minutes, follow up where required;
  • Make routine updates in applications managed by the Branch.
  • Help organize learning sessions for the Branch;
  • Undertake administrative tasks, such as procurement, payment processing, hiring, travel arrangements, etc. using the UNFPA ERP systems and applications, as required;
  • Apply UNFPA rules, regulations and procedures;  and
  • Carry out any other duties as may be required by personnel of the Chief, Advisers and Specialists in the Branch.

Required Qualifications and Experience:

  • Completion of secondary Level Education required. Training or coursework relevant to this post and/or information technology is an advantage.
  • Five years of relevant experience;
  • Excellent communication; oral and written skills;
  • Strong interpersonal and organizational skills;
  • High level of computer literacy - Microsoft office, in particular MS Excel, google suite. Familiarity with databases, social media, and photo editing desirable but not required;
  • Excellent attention to detail;
  • Basic knowledge of Statistics or data analysis is desirable;
  • Knowledge of UNFPA’s ERP/GPS system is desirable
  • Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable;
  • Candidates for this position must pass the UN-GGST/ASAT exam to be appointed to this position;
  • Local position:  Candidates must have a valid G-4 visa granted on the basis of their duty station is New York or Washington D.C., or have a valid USA Permanent Residency or be a USA Citizen.
