Job Purpose

The Human Resources Associate, Learning, will conduct research on best practices and market trends, supporting standardization of learning and development initiatives in the organisation and provide logistical, procurement and budgetary support in the area of learning.

You would be responsible for:

 

Learning Administration:

  • Manage and track the versions of online courses of the core and functional program requirements in multiple languages;
  • Responsible for the uploading and organizing new content to meet established criteria including maintaining training calendars;
  • Generate reports on completion status and effectiveness of training solutions delivered via the learning management system;
  • Responsible for uploading of material, tests, deployment and maintenance of all training materials/learning assets hosted in the LMS;
  • Ensure all learners are successfully registered and enrolled in the LMS;
  • Collaborates with Learning Team to ensure operational excellence and to manage the catalog of learning assets;
  • Assist with scheduling live training events including venue and catering contracts, preparation of materials, and communication with instructors as well as participants.
  • Provide clerical support for the unit and acts as procurement focal point for learning and development procurement processes;
  • Responsible for the learning units budget management, tracks budget expenditures and prepares PO’s for review by HR Operations Analyst;
  • Conduct research, benchmarking and analysis of trends, best practices and new developments in the area of learning and development. Propose improvements to current processes and platforms;
  • Prepare agendas, researches and documents information for meetings involving issues and projects as deemed necessary; participate in meetings/events, including minute taking; proactively ensures successful execution of the above;
  • Support meetings with high-ranking visitors, ensuring appropriate protocol and procedures for all appointments and meetings.

 

Humanitarian Learning and Development support

  • Administrative focal point for Surge rostering assessment process and humanitarian learning;
  • Contribute to the development of written materials, guidelines and standard operating procedures for Humanitarian learning and development purposes;
  • Contribute to the development of training content;
  • Administer and analyze learning needs and evaluation of learning activities; print, assemble and dispatch information and training material required for the purpose of workshops and other learning activities;
  • Support the design and delivery of activities or events, including identifying participants, managing logistics of events, including training spaces (virtual and physical training space). Make travel and hotel arrangements, prepare travel authorizations and act as the training focal point for facilitators and participants.

 

Systems Maintenance, Monitoring and Reporting

  • Maintaining learning and training delivery platforms and solutions, especially ensuring that details on offers or learning histories are up-to-date;
  • Managing collaborative relationships with internal and external solution providers;
  • Generate reports on learning activities, monitor progress on mandatory learning plans, taking actions to increase compliance and completion rates;
  • Perform any other duties as may be directed by the Human Resources Specialist, Leadership Development and Management Learning

 

Required Qualifications and Experience 

  • Secondary Education;
  • 6 years of experience in education, training, Human Resources, technology, or administrative experience;
  • Experience in Humanitarian settings an added value;
  • Good, broad IT and data skills with basic knowledge of organizational database and enterprise resource management systems, especially learning management systems and related technologies with mobile access;
  • Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable;
  • Candidates must pass the UN GGST/ASAT to be appointed.
