How to Submit
a Request
(for external clients)
To qualify to place an order through UNFPA,
your organization must belong to one of the following categories:
- UN Agencies, Funds and Programmes
- Developing Country Governments
- Non-Governmental Organizations (NGOs)
- International Funding Organizations and Institutions
The following steps outline the process of ordering
commodities from UNFPA. These instructions are intended only for
the clients listed above. [For UNFPA Field Offices: please refer
to the bbs.]
Note: Because of the administrative work load involved, the minimum
value of a request must be above USD 6,000 to enable us to process
it.
- To place an order/request for quotation with UNFPA, you need
to fill out a Request for Pro-Forma
Invoice. This form may be completed online, though you may
wish to download a copy to print out and mail or fax to UNFPA.
On receipt of your completed request form, UNFPA will forward
a Pro Forma Invoice for the requested products within 3 working
days for your consideration. To cover its administrative costs,
UNFPA charges a 5% handling fee on top of the CIF/CIP price.
- Along with UNFPAs Pro Forma Invoice, you will also
receive a Memorandum of Understanding (MOU), outlining UNFPAs
terms and conditions for reimbursable procurement. Please click here for a preview of this document.
- If the Pro Forma Invoice and the MOU are acceptable, please
transfer funds to UNFPAs account (noted on invoice)
and sign and send the MOU in three copies to UNFPA New York.
- Upon our receipt of funds and signed MOU, UNFPA will immediately
issue an order to a corresponding Supplier and send a confirmation
copy to you. The supplier will expedite the order and inform
you of delivery schedule etc.
- The commercial invoice will be sent to and paid by UNFPA
(a copy will be sent to the requestor). Any balance in excess
of/short of USD 100 will be returned/charged to the requestor.
