Knowledge Sharing Tools

On a practical level, knowledge sharing is focused on, and facilitates, the users’ work processes. Support for these processes will be provided by the various systems that are being implemented, including human resources, learning and training systems.

UNFPA is also developing a suite of tools to foster more efficient and effective communication among staff, and to aid in the collection and capture of corporate experiential knowledge.

Primary knowledge sharing tools include a Corporate Calendar, a digital Staff Directory, a Document Centre or repository, various communication technologies, such as Listservs and Email, that operate in concert and in conjunction with a shared Network Workspace. The Branch also maintains several Current Awareness sites, such as the Internet Supermarket, and the Current Awarness Alerting Service, that work to broaden staff awareness of current population issues, and the Development Gateway Population and Reproductive Health (POP/RH) Portal, an Internet initiative that highlights and showcases UNFPA activities in a development context for a broad international audience of development professionals and interested others.

The cornerstone of UNFPA's Knowledge Sharing is the Knowledge Asset which has been designed to facilitate staff work processes by capturing the experiential knowledge of UNFPA experts in various areas of endeavour. UNFPA has developed a Knowledge Asset Development System (KADS) which is now in use as part of a broad-based organization-wide Knowledge Sharing Strategy. A portable version, known as pKADS, has been developed jointly by UNFPA and Business Information Systems, University College Cork, Ireland, with full funding by the Government of Ireland."

These tools are readily accessible in the Knowledge Sharing Portal located in the UNFPA Intranet.

The Corporate Calendar is directly accessible to UNFPA staff. The purpose of the calendar is to promote and enable more efficient work scheduling and workflows.

The Document Centre will serve as the primary corporate repository that will house all corporate documents, publications and experiential knowledge.

Current Awareness Tools:

The Internet Supermarket is an Intranet source of published journals, reference works and links to published digital resources.

The Current Awareness Alerting Service is a compilation f current journal articles with abstracts sent to staff by request on a bi-monthly basis. The Knowledge Sharing Portal houses both the current issue and an archive of the past 6 months of Alerting Service bulletins.

The Development Gateway Population and Reproductive Health (POP/RH) Portal is accessible via the Knowledge Sharing portal, the Internet Supermarket, or directly on the Internet at http://www.developmentgateway.org/pop. The POP/RH Portal is a joint Internet initiative offering a community-built database of shared population information, including data, research, projects and innovative knowledge sharing arrangements. The Portal is led by UNFPA and links to resources in the websites of 20 partner organizations and those of other population and development institutions. The POP/RH Portal is a centrepiece of UNFPA external knowledge sharing, ensuring the dissemination of lessons learned and showcasing activities for a broad international audience of population and development professionals and others interested in development issues
